Who we are
Match Report GO is an app for running grassroots sports teams and writing their match reports. It is run by [company name, company number and registered address to confirm] (“we”, “us”). For anything about your data, email privacy@matchreportgo.com.
For your account, and for how the app works, we decide how data is used, so we are the “controller”. A team's squad list is added by the team's coach or manager, who decides who is on it; we look after it on the team's behalf and only use it to run the app for that team. [Legal check: confirm the controller and processor split with teams and clubs.]
The short version
- We keep what a team needs to run: names, who can play, fixtures, scores and reports.
- Children never have their own accounts. A parent or guardian answers for them, and agrees before their child is linked.
- Junior teams show first names only on anything public, and we avoid publicly identifying children in negative match moments such as disciplinary incidents, own goals, missed attempts like penalties, and injuries. [Legal check: confirm wording.]
- Photos of players are only shown with the adult player's or a parent's agreement.
- Our server and database are in London. We never sell data or use it for advertising.
- You can download your data or delete your account in the app, at any time.

We don't collect your location, contacts or advertising identifiers, and we don't use advertising or tracking cookies.
Children and junior teams
Most people on a grassroots squad are children, so the app is built around that.
- No accounts for children. In a junior team, a parent or guardian joins and answers for their child. Accounts are for adults aged 18 or over [legal check: confirm the age].
- A parent agrees first. When a parent accepts an invitation or asks to join as a child's parent, they agree to the team using Match Report GO for their child, and we record who agreed and when. When a coach adds a child, the coach confirms a parent has agreed. A parent can see and withdraw this in the app (Club › Privacy and consent).
- First names only in public. Match reports, graphics, live pages and team pages show junior players by first name only.
- Kind reports. In junior teams, children's names are never given to the AI, or used in reports, graphics or live pages, for negative match moments such as disciplinary incidents (cards and sin bins), fouls and penalties conceded, own goals, missed penalties and kicks, offsides and injuries.
- Photos need agreement. A child's photo is only stored or shown with a parent's agreement, and only a parent can give it. The agreement says where: inside the team app only, or also on share graphics and public pages. Photos are stored on our London server with camera and location details removed, and taking the agreement back deletes the photo.
- Fair minutes stay private. Comparisons of playing time are only shown to the coaches who pick the squad.
How we use it, and why we're allowed to

We don't sell data, share it with advertisers or use it to build marketing profiles. We don't make decisions about people by automated means that have legal or similar effects.
What's public
Some things are made to be shared. When a team publishes a match report, starts a live score or shares a team page, anyone with the link can see it. These pages show names (first names only for junior teams), scores and the report, never contact details. A team can unpublish a report at any time, and the link then stops working. Search engines are asked not to list invitation and reply pages.
AI match reports
Reports are written by an AI model from Anthropic, from the match details the team entered: the teams, the score, events and timings, the players' names as the team chose to show them, and any notes the manager adds. Contact details are never sent. In junior teams, children's names are left out for negative moments. Anthropic processes this to write the report and, under its commercial terms, doesn't use it to train its models [confirm current terms before launch]. Every report is checked against the match before anyone sees it, and the team can edit or delete it.
Analytics, cookies and crash reports
On our website we count visits ourselves, without cookies and without storing your IP address (see Cookies). Google Analytics only runs if you choose “Accept analytics”. In the app, “Send crash reports” and “Share usage data” are in Club › Privacy and consent. Our own server keeps simple usage events (such as “a report was published”, the sport and the plan) for 400 days; these never include names, emails, report text or notes.
Who we share it with
People in your team see what the app shows them, based on their role: for example, contact details are only shown to the staff who need them, the person themselves and their parents. Outside the team, we only use these companies to run the service, under contracts that make them protect the data and use it only for us:

We would also share data if the law required it, or to protect someone's safety.
Where it's kept
Our server and database are in London, UK, with Fasthosts. Where a company above works outside the UK, the transfer is protected by the UK's approved safeguards (such as the UK International Data Transfer Addendum, or the UK–US data bridge). Backups are kept [confirm: in the UK, encrypted, for up to 30 days].
How long we keep it
We keep data only while it's needed. The app removes old data automatically, every hour, following these rules:

Your rights
You can:
- Get a copy of your data: in the app, Club › Privacy and consent › Download my data.
- Delete your account: Club › Privacy and consent › Delete my account. Your account (name, email, password, phones and notifications) goes straight away, and so do your places as a parent or supporter. If you played, your name stays in the team's past matches, without contact details; ask the coach or us to remove it. If you own a team, hand it over or delete it first.
- Correct your details, or your child's, in the app or by asking the team's coach.
- Withdraw photo agreement, or a parent's agreement for their child, at any time in the app.
- Object to how we use your data, or ask us to limit it or remove a child's name from a team.
Parents can do all of this for their children. For anything the app doesn't do yet, email privacy@matchreportgo.com. We'll reply within one month.
Keeping it safe
Connections are encrypted (HTTPS). Passwords are stored scrambled with bcrypt; sign-in links, invitations and reply links are stored only in a form that can't be turned back into the link. Sign-in attempts are limited, and each team's data is only shown to people in that team. If something went wrong that put your data at risk, we'd tell you and the ICO as the law requires.
Changes and complaints
If we change this policy in a way that matters, we'll tell you in the app before it takes effect. If you're unhappy with how we've handled your data, please tell us first at privacy@matchreportgo.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
